Role Overview
We are seeking a Junior Project Planner / PMO Coordinator to support our PMO and Project Management team across multiple design-led and fit-out projects.
This role is suited to someone early in their planning or PMO career who is highly organised, numerate, and systems-driven, with hands-on exposure to project programmes, reporting, and cost tracking.
You will support Project Managers and the PMO, ensuring that programmes, budgets, and reporting are kept accurate, up to date, and aligned with agreed project plans.
Key Responsibilities
Project Planning & Scheduling:
Support the development and maintenance of project programmes using MS Project
Update schedules with progress from Project Managers, consultants, and contractors
Track key milestones across:
Design stages
Authority approvals
Procurement
Fit-out and handover
Assist with identifying programme risks and slippage
PMO Reporting & Controls
Prepare weekly and monthly project reports for the PMO
Maintain:
Programme trackers
Risk and issue logs
Action registers
Ensure reporting data is accurate, structured, and submitted on time
Support PMO governance and internal review.
Cost & Budget Tracking:
Maintain Smart Sheets / MS Projects /Excel-based cost trackers against approved budgets
Track consultant fees, variations, and forecast vs actual spend
Support cash-flow tracking and basic cost reporting
Flag inconsistencies or potential overruns to the PMO / Project Manager
Design & Fit-Out Coordination Support:
Track design deliverables, review cycles, and approvals
Support coordination between designers, consultants, and project teams
Ensure design timelines align with procurement and construction activities
Systems & Documentation:
Maintain structured project folders and documentation
Support data entry and updates within PMO systems
Assist in improving PMO templates and reporting formats
Candidate Requirements:
Essential:
2-4 years’ experience in a project planning, PMO, or project coordination role
Proficiency in MS Project and Smartsheet
Strong Excel skills (mandatory) – including trackers, formulas, and basic cost reporting
Exposure to fit-out / interior projects (even if limited)
Experience supporting Project Managers, planners, or PMO teams
High attention to detail with strong organisational and reporting skills
Clear written and verbal communication
Willingness to grow into a senior PMO or planning role
Nice to Have (Not Essential):
PMI-SP (Scheduling Professional)
Exposure to cost control or commercial tracking (RICS-aligned experience, even without chartership)
Lean or Agile exposure where applied pragmatically (not theoretical only)
Experience in hospitality, F&B, retail, or design-led fit-out projects
Familiarity with UAE approval processes
